REGISTRATION

ALL regional council delegates, ex-officios, observers and visitors have to register their attendance and additional requirements, such as reasonable adjustments, access and specific dietary requirements. Registration closes at noon on Tuesday 17 September 2019.

FAQs

Why does anyone need to register to attend this meeting?

Meetings where issues are debated, reported on, decisions made, motions passed, and elections carried out, need to be quorate, so it's important that representatives from sectors, groups and branches attend these meetings to represent UNISON South West members.

Registration of everyone means we can properly set up the conference and meeting rooms and ensure that refreshments and catering is provided for the correct number of attendees. It also means that we can be greener by providing an appropriate amount of documentation on the day.

Who can register for this meeting?

South West branches can register any of their members as delegates for this meeting, except for unemployed Retired Members.

How many delegates can our branch register?

The number of delegates depends on the number of members within your branch. It is currently one delegate per 500 member of part thereof. Delegates have to be full UNISON members (they cannot be retired members) and the delegation must comply with UNISON's principles of proportionality. If in doubt about how many delegates you can send or how many should be men or women, please contact the event organiser.

What if we need to change or cancel a delegate?

Delegates can be removed or changed up until online registration closes. After this date, a change of delegate form will be made available online. If branch is unable to complete this form prior to the deadline, changes can be made in person at the registration desk, which will be open from 9.15am on the morning of Regional Council.

If this affects accommodation, the branch should contact Crodye Bay directly. Cancellations within 7 full days of the meeting will be charged at the full rate. Please bear in mind that it is the branches responsibility to contact Croyde Bay should any accommodation changes be required.

Does the branch need to book accommodation?

This depends on how far the branch delegate or branch observer has to travel and is up to the branch, as it's the cost of travel and accommodation is funded by the branch. Branches with registered delegates or observers staying at Croyde are reminded that branches should make their own reservations at Croyde Bay and meet those costs from the Branch.

Accommodation needs to be booked directly with Croyde Bay (012718 90890) and paid for at the time of booking. Where the branch is paying for delegate(s)' accommodation and are unable to pay at the time of booking, an invoice will be emailed to the branch which will clearly state that no further reminders for payment will be issued and that bookings must be paid for 7 days prior to arrival or accommodation will be cancelled. Cancellations made within this 7-day period will not be refunded.

Accommodation has been reserved for UNISON at Croyde Bay, so please state 'UNISON' when booking accommodation to ensure you get the correct rate. Accommodation should be booked by no later than Wednesday 3 October, although you're advised to book earlier if there are any specific requirements.

Can branches please pay their invoices in a timely fashion, or at the time of booking in. In previous years, there have been some issues with late payments, therefore, your co-operation in this matter would be greatly appreciated. Where your members are booking extras, ie, bringing their family or are staying extra nights, etc, please can branches ensure they know the booking, cancellation and payment policy. Thank you.

Is lunch provided?

Yes, lunch will be provided, taking into account dietary requirements where possible, and subject to notification in advance of the meeting. However, if details are not submitted by the registration deadline, Tuesday 17 September 2019, we cannot guarantee that any specific food intolerances or allergies can be catered for.

What are my transport options?

If travelling by car, there is ample parking on site. The nearest train station is at Barnstaple. Please click HERE for more travel information. If have difficulty getting from the station to the venue, please let the region know and we may be able to arrange transportation.

How do we submit motions or topics for discussion, an amendment of a motion or emergency motions?

A separate link will be made available for the submission of motions or topics for discussion. Motions should be submitted by no later than one month before Regional Council. Please click HERE to go to the motion(s) submission form. Motions are due by noon on Wednesday 17 September 2019. See the online submission form for more details.

Amendment of motions or emergency motions are due by 2pm Friday 18 October 2019. This form will be made available online on after 1pm on Tuesday 17 September 2019, after the closing date of receipt of motions.

What do I do if I need childcare, need to bring a facilitator or have access requirements?

Should anyone have any childcare requests, need to bring a facilitator or have access requirements, such as large print, documentation required on a specific coloured paper, please ensure those details are provided when registering your attendance, or that of your delegate(s). If this affects accommodation, please ensure that you supply Croyde Bay with these details too.

When is the agenda issued?

Further details about Regional Council, including the agenda, will be sent to all registered attendees approximately ten days ahead of the meeting.
